    Reports provides reports on your clients’ activities with us and provides access to:

    • on-demand reports, with the information current as at the request time
    • pre-generated reports, which contain historical and current information for your clients – these are updated regularly.

    Download options

    View and print online 

    • This is a view-only option. You cannot download this information to your computer.
    • Available for pre-generated reports only

    HTML formatted page 

    • If you choose this method, HTML formatted pages will be downloaded to your computer without file compression. You can view and print pages from your web browser.  
    • Available for pre-generated reports only.

    Zipped HTML formatted page  

    • If you choose this method, HTML formatted pages will be downloaded to your computer with WinZip file compression. The file will need to be extracted before you can use it. Once extracted, you can view and print pages from your web browser.
    • Available for pre-generated reports only.

    ASCII text or Comma separated file (.csv)  

    • A .csv file is a datafile format commonly used when importing or exporting information onto spreadsheets or databases. We recommend you download using this method only if you are planning to use the information in a spreadsheet application.
    • Available for pre-generated reports and on demand reports.

    Zipped ASCII text or Zipped comma separated file (.csv)  

    • A .csv file is a datafile format commonly used when importing or exporting information onto spreadsheets or databases. We recommend you download using this method only if you are planning to use the information in a spreadsheet application.
    • Available for pre-generated reports and on demand reports.

    XML  

    • If you use this method, XML pages will be downloaded to your computer without file compression. Pages can be viewed and printed from your web browser. Use this option if your software supplier recommended it to import the pre-filling report’s data into your tax preparation software.
    • Available for pre-filling report only.

    Requesting on-demand reports

    The on-demand reports contain up-to-date information about your clients at the time the report is requested. Once requested, the report should be available for download within a couple of hours. However, delays in processing the request may occur at peak times.

    The information displayed on this screen is the:

    • on-demand reports available
    • date and time of request (only three requests per day can be made)
    • status of request.

    The report status may be either: 

    • requested – the report is being generated; if the report is not available until the next day, a message will be displayed on this screen
    • download – the report is available for downloading; to download the report, select the hyperlink
    • failed – the report could not be generated and you will have to request it again
    • failed time out – the report could not be generated at the time requested or the report has been available for more than seven days from the request time
    • no data – there is no current information for your clients for this report.

    The report will be available for seven days from the request time. Once the seven days have elapsed, the status will change to Failed time out.

    It can be downloaded and saved using common spreadsheet applications such as Excel.

    Income tax lodgment status report (current + previous three years)

    The Income tax lodgment status report (current + previous three years) provides a list of all your current income tax clients at the time the report is requested. The report is based on financial years.

    The report will display one client per line.

    The Download status is displayed when the report is available for download.

    The report will usually be available within a couple of hours if it is for 1,000 or less clients; and overnight if it is for more than 1,000 clients.

    You will be able to apply filtering categories to the report, and you will be able to view it on screen or download it in .csv format.

    Filtering the report  

    After the report request has been successfully completed, it will display a download hyperlink. Using this link, you will be able to filter the report into several categories based on your preference.

    You can choose how to filter the report by selecting from the displayed options:

    • Show all clients
    • Not lodged
    • Lodged
    • Not necessary.

    You can select one or more of these options, depending on how you want the report to be filtered. Show all clients is the default selection.

    You will receive an error message if you try to select any of the other options while the Show all clients check box is selected. Ensure that you have de-selected Show all clients before choosing one or more of the other options.

    View reports button  

    In addition to downloading this report, you can view it on screen. Selecting the View reports button will display the report.

    You can view a print-friendly version which will open in a new browser window. From here, use your browser to print the report.

    To return to the on-screen version of the report, use the control within your browser to close the window.

    Sort order   

    Information in the income tax lodgment status report when you View report will display:

    1. status (not lodged, lodged or not necessary)
    2. by sub-status

    A not lodged report will include the statuses of:

    • not lodged
    • demanded.

    A lodged report will include the statuses of:

    • lodged
    • assessed
    • issued taxable
    • issued non-taxable.
    1. by tax file number (TFN)

    If you want to apply other sort options, you will need to download the .csv file version of the report.

    Empty data sets in View reports   

    Information in the income tax lodgment status report when you View report will not display if a particular filtering option does not contain any data. A message will notify you that no information for that option is available.

    Outstanding activity statement report (current + previous three years)

    The Outstanding activity statement report (current + previous three years) provides a list of all your clients’ outstanding activity statements at the time the report is requested. The report is based on calendar years.

    The report will display one outstanding activity statement per line – as a result, a client can have multiple lines on the report.

    The report will be available within a couple of hours if it has 100 or less outstanding activity statements and overnight if it has more than 100 outstanding activity statements. If this is the case, you will receive the following message:

    • ‘!INFORMATION This lodgment report request will be placed in an overnight run and will be available tomorrow morning'

    Activity statements (form N, R, S or T) will be displayed on this report as outstanding or new until the due date of the lodgment has passed – even if payment has already been forwarded.

    These do not need to be lodged unless there are variations to the pre-calculated amounts.

    Client account running balance report

    The Client account running balance report provides information about your clients' account balances. It does not contain information on individual transactions. The data is a snapshot that is valid at the date the report was last updated.

    A running balance amount is a total of all transactions on the account, including any amounts with a future due date that are processed on the account before the report is updated.

    The report does not contain the running balance for the following account types:

    • prescribed payments system
    • wholesale sales tax
    • pay as you earn
    • reportable payments system
    • higher education loan account 
    • superannuation.

    The client will only appear on this report if they have an Australian business number (ABN).

    Clients who are lodging and paying on a substituted accounting period (SAP) cycle will not be included in this report.

    Family trust elections and interposed entity elections report 

    The Family trust elections and interposed entity elections report provides information about your clients that have family trust elections (FTEs) or interposed entity elections (IEEs) recorded with us.

    You can view a report that displays, for your registered agent number, all clients that FTEs or IEEs are recorded for, or a client-specific report.

    The data is a ‘snapshot’ as at the date the report was last updated. A client will not appear on this report if you are not appointed as their tax agent as at the date the report was last updated.

    The reports will be available by using the links on the Reports screen or Your client - reports screen.

    This report link will only appear if there is something to display.

    PAYG instalment report 

    The Pay as you go (PAYG) instalment report displays the net quarterly and total annual PAYG instalment information for each of your clients. The amounts shown reflect either:

    • the PAYG instalment amounts reported at labels 5A and/or 5B of your client's activity statements
    • the PAYG instalment amount advised by us, or the client’s variation of this amount
    • if your client is an annual payer, the net annual PAYG instalment amount.

    The PAYG instalment report is available for the previous four financial years.

    Pre-filling report

    This report provides certain information about your client’s income, expenses and tax-withheld amounts from a number of sources, including:

    • employers
    • government agencies
    • financial institutions
    • health funds
    • us.

    Do not rely solely on pre-filled information. The information provided may be incomplete because of:

    • timing – an organisation has not supplied data yet or ATO processing has not been completed
    • matching – we could not match the data to your client
    • validation – the data did not pass all processing checks.

    What is the pre-filling report? 

    Pre-filling reports are available on the Tax Agent Portal from . They will display:

    • data for one income year per report selected (a new report must be requested for each income year)
    • processing dates for most data so you know when we received the records (from 2011)

      • You should ensure that any discrepancies between the information provided through the pre-filling service and your client’s records are followed up with the data provider.
      • If you need to bring an error to our attention you can select
        • Mail in the navigation bar on the left of the screen
        • Income tax as the mail topic
        • Pre-filling as the subject.
         
      • Alternatively, you can phone us on 13 72 86 Fast Key Code 214.
      • Provide as much detail as possible to help us with investigating your issue. We will attempt to resolve all queries as quickly as possible. To allow us to investigate your matter appropriately, the relevant response may take up to 28 days.
        • If we find your request raises particularly complex matters that will take more than 28 days to resolve after receiving all the required information, we will aim to contact you within 14 days to negotiate an extended reply date.

    Senior Australians tax offset - April 2002

    This report contains a list of your clients compiled as at April 2001, who we believe may be eligible for the senior Australians tax offset (SATO) but have not claimed it in their 2001 return.

    The report is not updated. It is a static report.

    This report will be divided into two categories: category A and category B.

    • Category A – ATO-identified and auto-amended returns to include SATO claim.
    • Category B – these clients have been identified as potentially eligible for SATO, however, we do not hold enough information to work out the exact amount of SATO, they are entitled to - as a result, you must review your clients’ records and request an amendment if they qualify for the tax offset.

    The Year to date excise revenue product summary report displays a summary of your clients' reported obligations.

    The year to date excise revenue product summary report is available for the previous three financial years.

    Year to date interest summary report 

    The Year to date interest summary report displays a summary of your clients' calculated interest amounts.

    • The year to date interest summary report is available for the previous three financial years.
    • The client will only appear on this report if they have an Australian business number (ABN).
    • Clients who are lodging and paying on a substituted accounting period (SAP) cycle will not be included in this report.
