    Enter message details

    The subject details and client details from the previous stages are displayed.

    This screen allows you to:

    • enter your message details – you can enter the details in the message text box. The maximum message length is 4,000 characters
    • add an attachment - follow the below guidelines to ensure your file isn't rejected:
      • there is a limit of six attachments per message
      • the maximum file size allowable for each attachment is 4MB
      • acceptable file types are .doc, .pdf, .rtf, .xls, .tif, .jpg, .zip, .bmp, .mpp, .ppt, .png, .gif, .docx, .dotx, .xlsx, .xltx, .pptx, .potx, .ppsx
      • the attachment must not be encrypted (eg password protected)
      • the attachment must not contain macros
      • the attachment must not contain formulas (copying and pasting information from one spreadsheet to another may introduce unseen elements in your spreadsheet)
      • the attachment is not an executable file (common executable file extensions include .exe, .app, .vb, .scr)
      • if scanning text, use settings at 72 dpi, and
      • if scanning images, use black and white settings at 200 dpi.

    Note: For PAYG withholding where an ABN isn't quoted - annual reports generated from business management/payroll software (generally saved as a .txt file) - these files need to be compressed when submitting as an attachment through portal mail..

    Compressed files are accepted as mail attachments.

    • set up an automatic email notification when a response is received.

    We recommend that you set up email notifications. This way you’ll receive an automatic email to your nominated email address when you receive a message from us in your Business Portal inbox.

    The following fields are mandatory:

    • message text, and
    • name and contact details.

    Check and send

    A summary of the new message that's been prepared will be displayed.

    You can select either the:

    •   Cancel button, to cancel the new message
    •   Back button, to go back to a previous step to alter any information
    •   Printer friendly version button to print the new message.

    You are provided with a statement for you to confirm that:

    • the message is true and correct based on your information, and
    • you are authorised to make the declaration.

    Your confirmation is given when you proceed to the next step by selecting the Send button.

    Receipt and confirmation

    You are provided with:

    • confirmation your message has been sent
    • a receipt number - you will be able to use this receipt number to check the status of your message.
